Whimbli, Inc. ("Whimbli," "we," "us," or "our") respects your privacy. This Privacy Policy explains how we collect, use, store, and share information when you use Whimbli Vendor Systems (the "Service").

1. Information We Collect

  1. a.Account Information. When you create an account, we collect your name, email address, company name, and password. We may also collect optional information you provide such as your role or industry.
  2. b.Content You Upload. This includes product catalogs, documents, images, pricing information, and any other files or data you upload to the Service. This is "Your Content" as defined in our Terms of Service.
  3. c.Usage Data. We automatically collect information about how you interact with the Service, including pages visited, features used, time spent, browser type, device information, and IP address.
  4. d.Communication Data. If you contact us (via email, support requests, or feedback), we retain the content of those communications.
  5. e.Waitlist Data. If you signed up for our waitlist, we collected your name, email, company name, and responses to onboarding questions.
  6. f.Publicly Available Website Data. When you create an account as a vendor, we may use automated tools to collect publicly available information from your company’s website, such as product names, descriptions, images, and pricing. This data is used to pre-populate and enrich your product catalog within the Service. We collect only information that is publicly accessible on your website. You can review, edit, and approve all collected data before it is used or shared. You may opt out of this automated collection by contacting support@whimbli.com.

2. How We Use Your Information

We use the information we collect to:

  1. a.Provide, maintain, and improve the Service.
  2. b.Process and organize Your Content using AI-powered tools (catalog extraction, data structuring, etc.).
  3. c.Communicate with you about the Service, including updates, new features, and support responses.
  4. d.Analyze usage patterns to improve product functionality and user experience.
  5. e.Detect, prevent, and address technical issues or security threats.
  6. f.Comply with legal obligations.

3. How We Do NOT Use Your Information

  1. a.We do not sell your personal information to third parties.
  2. b.We may use anonymized, aggregated data derived from Your Content and usage patterns to train and improve our AI and machine learning models. This aggregated data does not identify you or your specific products. We will never use your identifiable Content or proprietary data to benefit competitors or other users.
  3. c.We do not share Your Content with other users unless you explicitly choose to share it (e.g., through shareable catalog links).
  4. d.We do not serve advertisements or share your data with advertisers.

4. Data Storage and Security

  1. a.Your data is stored on secure cloud infrastructure. We use industry-standard security measures including encryption in transit (TLS) and at rest.
  2. b.While we take reasonable precautions to protect your data, no method of electronic storage or transmission is 100% secure. We cannot guarantee absolute security.
  3. c.Our servers are located in the United States.

5. Data Sharing

We may share your information only in the following circumstances:

  1. a.Service Providers. We use third-party services to operate the Service (e.g., cloud hosting, email delivery, AI processing). These providers are contractually obligated to protect your data and may only use it to provide services to us.
  2. b.Legal Requirements. We may disclose your information if required by law, regulation, legal process, or governmental request.

6. Your Rights

  1. a.Access and Export. You can access and export Your Content at any time through the Service's built-in export features.
  2. b.Correction. You can update your account information and Your Content directly within the Service.
  3. c.Deletion. You can request deletion of your account and associated data by contacting us at support@whimbli.com. We will process deletion requests within 30 days.
  4. d.California Residents. If you are a California resident, you have additional rights under the California Consumer Privacy Act (CCPA), including the right to know what personal information we collect, the right to delete, and the right to opt out of the sale of personal information. We do not sell personal information.

7. Cookies, Tracking, and Session Analytics

We use essential cookies to maintain your session and keep you logged in. To understand how the Service is used and improve product quality, we use the following analytics providers:

  1. a.Microsoft Clarity. Records aggregated usage patterns including page navigation, clicks, and interactions to generate heatmaps and session replays. Sensitive form fields and personally identifiable information are masked by default.
  2. b.Sentry. Captures error reports and, when an error occurs, may record a session replay of the events leading up to it for debugging purposes.

Both providers are contractually bound to use this data only to provide services to Whimbli. We do not use third-party advertising cookies, and we do not share your data for cross-context behavioral advertising.

8. Children's Privacy

The Service is not intended for use by anyone under the age of 18. We do not knowingly collect personal information from children. If we become aware that we have collected information from a child under 18, we will take steps to delete it.

9. Changes to This Policy

We may update this Privacy Policy from time to time. When we make material changes, we will notify you by email or through a notice within the Service. The effective date at the top of this policy indicates when it was last revised.
